You have a list of customers in Excel: names, phone numbers, maybe an order number or a due date. Copying each number into WhatsApp and typing the same message again and again takes hours, and one wrong paste sends the wrong name to the wrong person. This guide shows how to send a personal WhatsApp message to every contact on your sheet in a few minutes, straight from your own WhatsApp Web, without the WhatsApp Business API.
What You Need
- Google Chrome on a computer, and your WhatsApp logged in to WhatsApp Web.
- An Excel (.xlsx) or CSV file with your contacts.
- WappHub Bulk Sender, a free-to-install Chrome extension that does the sending.
Step 1: Prepare Your Excel Sheet
Put a header in the first row and one contact per row below it. A simple sheet looks like this:
| phone | name | order |
|---|---|---|
| 919876543210 | Priya | #1042 |
| 919812345678 | Rahul | #1043 |
- Phone numbers with the country code: 91 for India, then the 10-digit number, with no spaces or plus sign.
- One column per detail you want in the message: name, order number, amount, date, city.
- Using Google Sheets? Choose File, Download, then Microsoft Excel (.xlsx) or CSV.
Step 2: Install Bulk Sender and Open WhatsApp Web
Add WappHub Bulk Sender from the Chrome Web Store, then open web.whatsapp.com and log in as you normally do. Bulk Sender opens beside your chats. It works through your own WhatsApp session, so there is no API approval and we never ask for your password.
Step 3: Upload Your Sheet and Pick the Phone Column
Upload your Excel or CSV file and choose the column that holds the phone numbers. Bulk Sender reads every row and shows how many contacts it found.
Step 4: Write One Message with Variables
Write your message once, and put each column name in double curly brackets wherever that detail should appear:
Hi {{name}}, your order {{order}} is packed and will reach you tomorrow. Reply here if you need anything.
Priya receives "Hi Priya, your order #1042 is packed…", and Rahul receives his own name and order number. Each message is personal, which is what customers respond to and what keeps a message relevant to the person reading it.
Step 5: Add an Image, Video or PDF (Optional)
Attach a product photo, a short video or a PDF such as a price list or invoice. Bulk Sender compresses media automatically so it sends quickly.
Step 6: Preview, Add an Opt-Out Line and Start
Check the preview for one contact. Turn on the "Reply STOP to unsubscribe" option if you want every message to end with a way to opt out. Then start: messages go out one at a time with a random 3–7 second gap, at a steady pace instead of all at once. You can pause and resume at any time.
Step 7: Check the Report
When the campaign finishes, the report shows which messages were sent and which failed. Export it to Excel or CSV for your records, or to follow up on the numbers that failed.
Tips for Messages People Actually Want
- Message people who know you. Customers, leads who asked you to contact them, members and students. Unwanted messages put your number at risk.
- Test with your own number first. Put yourself in the first row and check how the message looks on a phone.
- Use more than the name. An order number, due date or city makes a message useful, not generic.
- Respect opt-outs. Contacts on your opt-out list are left out of new campaigns by default.
- Keep the pace steady. Don't change the gaps to send faster. Slow and personal works better than fast and identical.
What You Can Automate on WhatsApp Without the API
With a WhatsApp Web extension you can automate the repetitive part of messaging: sending personal order updates, payment reminders, appointment reminders, class or event notices, and offers for existing customers. When customers reply, WappHub Sync Chat can send those conversations to your CRM automatically, so every reply reaches the right salesperson.
If you need official business verification, chatbots at high volume or messages to people who never contacted you, the official WhatsApp Business API is the right tool instead. Our pricing comparison shows what each option costs.
FAQs
Can I send WhatsApp messages directly from Excel?
Not from Excel itself, but a WhatsApp Web extension such as WappHub Bulk Sender reads your Excel or CSV sheet and sends each contact their own message through your WhatsApp Web, with their details filled in.
How do I add the customer's name to each WhatsApp message?
Keep the name in its own column, then write it as a variable in your message, for example {{name}}. Bulk Sender replaces it with each contact's name from your sheet before sending.
Does it work with Google Sheets?
Yes. In Google Sheets choose File, then Download, then Microsoft Excel (.xlsx) or CSV, and upload that file to Bulk Sender.
Is this WhatsApp automation allowed?
WhatsApp does not allow unwanted or unsolicited messages. Message people who know your business and expect to hear from you, give them a way to opt out, and keep a steady pace. Bulk Sender has random gaps, an opt-out list and an optional "Reply STOP to unsubscribe" line built in.
Customers will reply. Make sure no reply is lost: sync your WhatsApp chats to your CRM automatically with Sync Chat.
